How do I make changes to the Rota?

Changes to the Rota can be made at any time, whether you need to correct a mistake, alter your daily requirements or make last-minute adjustments due to staff absence. For the purpose of this guide, we will assume that any changes will not be made using the Drafting Bench function.

This guide will cover the following:

  • Adding a shift by manually inputting times
  • Moving a shift within the Rota
  • Creating double shifts on the same day
  • Deleting single shifts
  • Deleting multiple shifts
  • Deleting a daily schedule
  • Deleting an employee's weekly schedule
  • Deleting an entire week

Adding a shift by manually inputting times

You should use this method when a Shift Rule cannot be applied (i.e. hours of work are different from a regular shift).

  1. Select the required cell - an edit box will appear.
  2. Select the edit box and choose ‘Times’ from the list.
  3. Input the shift times in the 00:00 format (24 hour clock).
  4. Select ‘OK’.

The ‘Cost Centre’ will default to whatever the Rota Cost Centre has been set to
(see ‘Options, Filters and Preferences’).

Moving a shift within the Rota

  1. Grab the shift that you wish to move using the 'grab bar' on the right of the cell.
  2. Drag and drop it into the required location.

Creating double shifts on the same day

  1. Select the cell where you wish to add another shift.
  2. Select ‘+Add Shift to Rota’.
  3. Select the edit box and choose the required shift that you wish to add.
  4. Select ‘OK’.

Alternatively,

  1. Open the Shift Rules folder in the Menu Tree.
  2. Drag and drop a Shift Rule from the list into the required cell in the Rota. 

Important: as seen in the example above, the Rota will not prevent hours from overlapping, so you will need to manually check that the shifts don’t clash with each other.

Deleting single shifts

  1. Select the shift that you wish to delete.
  2. Select ‘Delete Shift’ (red cross).
  3. Select ‘OK’ when prompted to ‘Delete Shift?’
  4. Select ‘OK’ again.

Alternatively,

  1. Right-click on the shift that you wish to delete.
  2. Select ‘Clear Schedule’.

Deleting multiple shifts

  1. Select the shifts that you wish to delete by holding down the left-click and dragging the cursor.
  2. Right-click and select ‘Clear Schedule’.

Deleting a daily schedule

  1. Right-click on the required day at the top of the Rota.
  2. Select ‘Clear Schedule’.

Deleting an employee's weekly schedule

  1. Right-click on the employee’s name.
  2. Select ‘Clear Schedule’.



Deleting an entire week

  1. Right-click on the menu cell (three dots) in the top left corner of the Rota.
  2. Select ‘Clear Schedule’.
